This notice explains what personal information we collect, why we use it and the choices and rights available to you.

Who we are

Workshops for Schools is operated by Jolly Good Productions, a partnership run by Ron and Hazel Wood in Richmond, North Yorkshire. Jolly Good Productions is the data controller for the personal information described in this notice.

Information we collect

When you contact us or complete the enquiry form, we may collect:

  • your name, role, email address and telephone number;
  • the school or organisation name and postcode;
  • the workshop, preferred dates, year groups and pupil numbers;
  • the contents of your message and later correspondence;
  • booking, invoice and payment information where a booking is made; and
  • limited technical information recorded automatically in website security and server logs, such as an IP address, browser type, date and time.

If you choose to submit a review, we may also collect the name and school details you provide, together with your comments about the workshop. Please do not include personal information about individual children.

Please do not use the enquiry form to send confidential information about individual children or unnecessary medical or special-category information. General information about a class’s requirements can be discussed after we respond.

How and why we use your information

We do not use information submitted through the enquiry form to send marketing emails, and we do not make decisions about people using solely automated processing.

Who we may share information with

We do not sell personal information. Where necessary, limited information may be handled by:

  • our website hosting and email service providers;
  • Google, when you choose to complete our externally hosted enquiry, booking or review forms, with responses recorded in Google Sheets;
  • our accountant, insurers or professional advisers;
  • IT support providers helping us maintain secure systems; and
  • courts, regulators, HMRC, law-enforcement bodies or other authorities where disclosure is legally required.

Some technology providers may process information outside the United Kingdom. Where this happens, we expect the provider to use a legally recognised safeguard for the transfer and protection of personal information.

How long we keep information

We keep personal information only for as long as it is reasonably needed:

  • enquiries that do not become bookings are normally kept for no longer than 24 months after the last contact;
  • booking, invoice and related business records are normally retained for up to seven years, so that we can meet tax, accounting, insurance and legal requirements; and
  • security logs are normally retained for a much shorter period unless they are needed to investigate a problem.

Information may be kept for longer where required by law or while a complaint, dispute or legal claim is being handled.

Cookies

A cookie is a small piece of information stored by your browser. This website does not currently set cookies and does not use advertising, tracking, social-media or analytics cookies. If that changes, this notice and the site’s cookie controls will be updated before optional cookies are used.

The website contains links to our enquiry, booking and review forms, public availability calendar and schools-visited map hosted by Google. These services are not embedded, so visiting our pages does not itself load Google’s forms, calendar, map or their cookies. If you choose to open one of these external services, Google’s privacy and cookie arrangements apply on that website.

Your data protection rights

Depending on the circumstances, you may have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct inaccurate or incomplete information;
  • ask us to delete information we no longer need;
  • ask us to restrict how information is used;
  • object to processing based on legitimate interests; and
  • receive certain information in a portable format.
Your right to object

You have the right to object to our use of your personal information where we rely on legitimate interests. We will consider your request and stop using the information unless we have compelling legitimate grounds to continue or need it for legal claims.

These rights are not absolute and may depend on the lawful basis and circumstances. We may need to confirm your identity before responding. We normally respond to a rights request within one month.

We may update this notice if our services, website technology or legal responsibilities change. The latest version will always be published on this page with its revision date.
